The truth of the matter is that we all have 24 hours in any given day, when I hear someone say this I think to myself what they actually mean is

I wish I wasn’t so BUSY 

The reason I use the word busy is because that exact phrase is exactly what people are, they are busy but this does not necessarily mean they’re being efficient or productive. Sure there are plenty of things you need to do in your day & your business…

But are you doing the right things?

I can’t stress enough the importance of picking the right things to do rather than doing all of the things. There are plenty of day-to-day tasks the need to be carried out, but the order in which you do things and the process with which you do them can have a massive impact on how efficiently and productively your day goes.

One of my favourite games to play is the email game – I always ask my clients when they first check the emails during the day, And the results are nearly always the same.

  • When I wake up
  • When I get to the office
  • First thing in the morning

This amazes me that people follow this process despite realising they don’t have enough time everyday.The very act of checking your emails first thing in the morning, or when you first get to the office is mind-boggling to me.

Less To Do More Doing

Consider for a minute that you start the day with ten items on your ‘ to do list ‘ from yesterday – No consider that first email you open.There was only one of two results, You either need to action whatever is in it now, or you need to create another task to come back and do it later. Did you spot the problem yet?

Every time you open an email, you have no idea what is inside, And what action it will require you to take. Therefore opening emails first thing in the morning and can only add things to your to-do list.

With of course the exception of a cancellation email!

Think back to the very phrase by equated at the beginning “I don’t have time” – Your productivity relies solely on the processes you follow in your day-to-day activities. Opening your emails at the beginning of the day may be how you’ve always done it, but I am asking you to change your process.


This is far more simple than you might first imagine.

As humans we thrive and successful and nurturing environments, and therefore additional pressure on usIs detrimental to productivity. Please don’t misunderstand – some people perform really well under pressure, but this tends to be at peak moments of pressure, rather than continued level of pressure all the time.

So what exactly does this have to do with not opening your emails first thing? That’s a great question.

It follows the basic human psychology that when you’re doing well & achieving things, being more productive becomes easier than ever. Learning to celebrate the small wins like ticking things off your to-do list can highly increase your productivity day-to-day.

And don’t worry we will get to those emails!

The level of pressure at which we feel the necessity to check and deal with our emails first thing, is born both out of habit and expectation. The habit of checking them everyday for a number of years, and the expectation we have let others come to have of us by not setting our own expectations.

So how do we overcome this expectation? It really is as simple as letting people know. Adding a line of text to the bottom of your emails that informs people you do not check your emails until certain time of day will not only negates you need to check them is early, but will manage the expectation of those who email you. In factI bet you find that you receive less emails.

If something really is important and needs dealing with in the morning, those emails will become phone calls.

But only the important ones!
